Who we are
Valley Bowmen Archery Club, Loughdaheen Woods, Kilmeaden, Co. Waterford (the "Club") is the data controller for personal data submitted via this site. Contact: valleybowmen@gmail.com.
What we collect
When you register for an event, we collect:
- Name
- Age category (e.g. Senior, Junior) — a band, not your date of birth
- Gender — used to allocate the correct result category
- Bow style
- Membership number
- Club name
- Your score, once entered by an event official
We do not collect your date of birth, postal address, phone number, or email through this site. We do not use analytics or tracking cookies, and we do not share data with advertisers.
For security forensics when an event organiser signs in to the admin area, we store a /24-truncated version of their IP address (the last octet replaced with zero) and the 2-letter country code Cloudflare provides. The full IP address is never persisted. This data lives only in our internal audit log, which is retained for 365 days and then automatically deleted.
Why we use it
- To register you for events and record your score (performance of a contract);
- To publish results on the public event leaderboard (legitimate interest in running fair, transparent competition);
- To meet the rules of governing archery bodies (legitimate interest).
How long we keep it
We keep registration and score records for the duration of the current archery season plus one further year, so historical results remain available for reference. After that, records are deleted.
Who can see your data
- Event volunteers and the Club committee, via the admin area of this site;
- The public, via the event leaderboard — your name, club, membership number and score appear there;
- The Irish Field Archery Federation (IFAF), to whom we report your registration details and score so the result can count toward IFAF classifications, rankings and records;
- Cloudflare, Inc., which hosts this site and database on our behalf under a data-processing arrangement.
We never sell your data or share it for marketing.
Cookies
The public part of this site sets no cookies. When an event organiser signs in to the admin area, a strictly-necessary cookie (__Host-ar_session) is set to keep them logged in for the session, and a short-lived (__Host-ar_flash) cookie may briefly hold a one-shot status message between page loads. Neither contains tracking data and neither is shared with third parties.
Your rights
Under UK / EU data-protection law you have the right to:
- Request a copy of the data we hold about you;
- Ask us to correct anything that is wrong;
- Ask us to delete your data ("right to be forgotten");
- Object to, or ask us to restrict, our processing;
- Receive your data in a portable format.
To exercise any of these, email valleybowmen@gmail.com and we will respond within one month. You also have the right to complain to the Data Protection Commission of Ireland.
Changes to this notice
If we change how we use your data, we will update this page and the "last updated" date above.
